This article will outline what room block requests are and how to use them for your team travel.
If the number of rooms you have requested to hold for your team exceeds the number of rooms a hotel has currently contracted to your event, a Room Block Request will be sent to the Hotel to fulfill the remaining quantity. Once the Hotel has responded to the request, you will be notified by email.
Step #1 - Submitting a Room Block Request
After selecting a hotel room to hold, you will select the quantity of rooms your team requires for each date of your event. If you select more rooms than are currently available, you will notice additional text appear at the bottom of the page. This is to inform you of the maximum number of rooms immediately available to be held in your block, and that the remaining rooms will be requested to the Hotel through a Room Block Request.
Alternatively, some event hotels are only available upon request. You will receive a similar message that tells you that all of hotel room block will be sent as a request.
Step #2 - Confirmation of Your Room Block Request
After submitting a Room Block Request, you will receive a confirmation email.
APPROVED - If your Room Block Request is approved, you will receive a confirmation email.
Scroll to the bottom of your confirmation email and click on the Book Your Room link to visit the reservation screen for the additional inventory you have requested.
COUNTER OFFER - If the Hotel responds to your Room Block Request with a counter-offer, we will send you a notification email. From the email, click on the My Holds / Requests link to review the offer.
The Hotel's counter-offer may include a different price, room type, or quantity of rooms than you've requested. Select Accept Request or Decline Request once you have made a decision.
DECLINED - If your request has been declined, you will receive a notification email that includes a link to your event's hotel feed.
Scroll to the bottom of the notification email and click the See More Hotels button, which will return you to your event's hotel feed where you can continue to shop for similar hotels.
