This article will guide you through the process of crafting and submitting winning proposals to be featured at the top of an event's hotel listings with a competitive nightly rate.
Step 1: Navigate to Your Current Requests for Proposals
- Log in to your account and navigate to your Hotel Dashboard
- Select the RFPs & Additional Opportunities tab from the dashboard's navigation menu.
Alternatively, you can click the "Create Proposals" button at the top of your dashboard's Home page to access your Request for Proposals page directly.
Here, you’ll see all upcoming events in your area that are currently accepting proposals, giving you a centralized location to research, prepare, and submit your event proposals.
Step 2: Identifying and Selecting Events for Proposal Submissions
- On the Request for Proposals page, check the box next to the events you’d like to create a proposal for.
- Click Offer Rooms to Selected Events to proceed.
Step 3: Set Inventory and Rates for Room Types
- From the Room Type dropdown, select the room types you want to include in your proposal.
- Enter the Number of Rooms and Group Rate you wish to offer.
- To add more room types, click Add Another Room Type.
Click Continue once you have filled in the basic details.
Step 4: Customize Your Inventory and Rates
- Adjust the length of your proposal by selecting the Accommodation Dates input field, and use the calendar to set start and end dates.
- To customize room inventory or rates on a nightly basis, click Advanced Settings under the Room Type dropdown.
Selecting the Accommodation Dates input field will open up a calendar. Click once to select a start date and click again to select an end date.
3. When satisfied with your selections, click Confirm Event Selection
Step 5: Customize the Details of Your Proposal
- Customize concessions like the Cancellation Date, Cut Off Date, Rebate, Commission, Comp Rooms, Reward Points, and Amenities for your proposal.
- If you have default concessions saved, you can adjust them by selecting the Edit Details toggle.
- Once edited, you can save these details as your default values by checking the Save as Standardized Defaults box and clicking Save.
Click Confirm RFP Submission once your proposal is fully customized.
Step 6: Submit Your Proposal
- You can add an optional custom message in the Additional Notes field.
- Finalize by clicking Submit Proposal.
After submission, you will receive a confirmation email with the details. You will also be notified by email if the event Accepts, Counter-Offers, or Declines your proposal.
By following these steps, you'll be able to effectively submit and manage proposals for events through EventConnect.
